Job Description: Director of Dental Practice Operations & Strategic Project Management
Location: 14 North Main Street, Florida, NY 10921
Reports to: CEO/Owner
Contract Type: Full-time, eligible for H-1B visa
Job Objective:
Direct and coordinate the transformation and expansion of the operations at Dental Arts of Orange County, through process reengineering and strategic project management for expansion to new locations, ensuring continuous process optimization and service excellence.
Essential Functions:
1. Project Management of Reengineering and Expansion:
Lead reengineering projects to optimize all clinical and administrative processes, using advanced methodologies such as Lean Management and Six Sigma.
Plan and manage the clinic's expansion to new locations, ensuring scalable and sustainable expansion, and conducting market studies and financial analyses to select the best strategic locations.
2. Advanced Operational and Strategic Management:
Supervise daily operations, ensuring efficiency through the implementation of advanced systems such as Dentrix Ascend for practice management.
Manage and schedule staff, including dentists, hygienists, and administrative personnel, ensuring optimal staffing levels and efficient personnel allocation.
3. Innovation in Technology and Information Systems:
Implement and manage advanced practice management systems like Dentrix Ascend, highlighting its utility in the integration and analysis of clinical and administrative data.
Evaluate and adopt new technologies that drive innovation and enhance patient experience and operational efficiency.
4. Training and Staff Development:
Design continuous training programs that foster the development of project management skills and the use of emerging technologies.
Ensure that all staff are highly trained and aligned with industry standards and best operational practices.
5. Optimization of Revenue Cycle and Insurance Management:
Design and execute strategies to maximize insurance reimbursements, reduce accounts receivable, and improve the efficiency of the revenue cycle through automated processes.
Monitor budgets, expenses, and financial performance of the clinic to ensure financial sustainability and identify areas for financial improvement.
6. Patient Loyalty and Acquisition Program:
Develop advanced digital marketing strategies personalized based on patient history, offering discounts, rewards programs, and segmented communication.
Implement an advanced CRM to enhance patient retention and acquisition through automated campaigns and personalized reminders.
7. Optimization of Dental Supply Chain:
Review and optimize the supply chain for all dental supplies, ensuring the clinic obtains high-quality products at competitive prices and maintains an efficient inventory that supports all clinical operations without excess or shortages.
8. Health Sector Compliance and Regulations Management:
Supervise and ensure compliance with all relevant local, state, and federal regulations pertaining to dental practice.
Keep the clinic updated with changes in public health policies and adjust operations as needed to meet legal and ethical standards.
9. Patient Experience Optimization:
Develop strategies to improve the patient journey within the clinic, from arrival to post-treatment follow-up.
Implement technologies and processes that reduce wait times, improve communication with patients, and increase overall service satisfaction.
10. Advanced Dental Technology Management:
Oversee the acquisition, implementation, and maintenance of advanced dental technology, such as digital radiography equipment, intraoral cameras, and smile design software.
Ensure that staff are properly trained in the efficient and safe use of all new technologies incorporated.
Qualifications and Specific Skills:
Educational Requirements:
Bachelor’s degree in Health Administration, Business Administration, or a related field is required.
Master’s degree in Healthcare Management, Business Administration, Project Management, or related field is preferred.
Experience Requirements:
Minimum of 5 years of experience in healthcare management, with a strong preference for experience in dental clinic operations.
Proven track record of managing large-scale projects, including process reengineering and clinic expansions.
Experience in financial management, including budgeting, forecasting, and financial analysis.
Professional Skills and Abilities:
Strong leadership skills with the ability to manage and motivate teams.
Excellent organizational and project management skills, capable of managing multiple projects simultaneously without compromising on quality or timelines.
Proficient in the use of modern healthcare management software, especially Dentrix Ascend or similar dental practice management software.
In-depth knowledge of healthcare regulations, including HIPAA, OSHA, and other relevant dental industry standards.
Advanced problem-solving skills and the ability to make decisions based on accurate and timely analyses.
Communication and Interpersonal Skills:
High level of proficiency in communication, both written and verbal, necessary for creating reports, presentations, and effective stakeholder engagement.
Strong interpersonal skills, with the ability to manage relationships with internal and external stakeholders effectively.
Ability to address and manage patient concerns empathetically and professionally.
Technical Skills:
Experience with digital dental technology, including digital radiography and intraoral camera systems.
Proficient in data analysis and the use of statistical tools to monitor, analyze, and improve clinic performance.
Skilled in the use of CRM software to enhance patient engagement and satisfaction.
